Candidate Privacy Notice

You’re reading this because a company asked you to take an interview on LessRounds. This notice explains what happens to your information. It’s written to be read in five minutes.

The short version

• The company that sent you the link decides why your data is collected and what happens next. They are responsible for it (the “controller” or “data fiduciary”).
• LessRounds runs the interview on their behalf. We’re their service provider (the “processor”), operated by OLOG N Solutions Technology LLP.
• Your interview is recorded, transcribed and scored by AI, and the company’s hiring team reviews it. A person decides what happens next.
• AI scoring reads the words you say. It does not analyze your face, expressions, voice, room or clothing, and it doesn’t mark you down for which language you use.
• You never see a score, and we never contact you about the outcome. The company does.
• Your interview is kept for up to 3 years, or less if you or the company ask for it to be deleted.

What we collect

• What you enter: your name, email address and, if the company asks, phone number and answers to screening questions.
• Documents you upload, such as a résumé.
• The interview: an audio recording (and video, if it’s a video interview) and a written transcript.
• The AI evaluation: scores for the skills the company chose, the reasoning, quotes from your answers, highlighted moments and any conduct warnings.
• Technical data: browser and device type, IP address, and logs that help us fix problems.

How it’s used

To run the interview, confirm your email address, produce the transcript and evaluation, and show them to the hiring team at the company that invited you. We also use technical data to keep the service secure and working.

We don’t sell your data, use it for advertising, share it with other companies on LessRounds, or use it to train AI models.

Who can see it

• The hiring team at the company that invited you.
• LessRounds staff, only when needed to support the company or fix a problem.
• Our service providers, which host and run the service, listed on our subprocessors page. OpenAI runs the spoken interview and the scoring; its policy is not to train on data sent through its API.

Where it’s stored

On Google Cloud in India (Mumbai), with recordings and documents in private Cloudflare storage. Some processing, including the AI interview itself, happens in the United States.

Your choices and rights

• You don’t have to take the interview. If you’d rather not talk to an AI, tell the company and ask what else they offer.
• Consent: before the interview starts, you’re told it’s run by AI, recorded and evaluated, and you choose whether to go ahead.
• Access, correction and deletion: you can ask to see, correct or delete your data. Ask the company that invited you first, since they control it. You can also email privacy@lessrounds.ai and we’ll pass your request to them and help them carry it out.
• Depending on where you live (for example under the GDPR, UK GDPR, the DPDP Act or US state laws), you may also have the right to object, restrict processing, get a copy in a portable format, or complain to a regulator.
